Past the 3-seat minimum, you cannot buy seats one at a time. They come in buckets: 3, 5, 10, 15, 20 and up. A 7-person team cannot buy 7 seats on any plan. It has to buy the 10-seat block and pay full price for 3 seats nobody logs into. Buyers online call this the "ghost seat" tax, and it hits every tier from Basic through Pro. Run the numbers on Standard. Seven real seats at $12 a month should cost $84. Instead the bill is 10 seats at $12, which is $120 a month, or $1,440 a year. That is $432 a year for empty seats. It gets worse at the boundaries. A team of 11 looks almost the same as a team of 10, but it forces a jump to the 15-seat bucket, four empty seats at full price. Land at 6, 11, 16 or 21 people and you are paying for the maximum slack the bucket allows. The workaround is boring: time hiring so headcount lands near a bucket ceiling, not just past its floor. Going from 8 to 10 fills the existing bucket for free. Going from 10 to 11 pays for 4 seats you do not need yet. And that is on top of the 3-seat minimum itself. Solo users and 2-person teams cannot buy fewer than 3 seats no matter what, so Basic's real floor is $27 a month, not the $9 headline most guides quote. It is printed right on Monday.com's own pricing page, it just rarely survives into the number a comparison site puts in its title. ## When the usage caps force an upgrade Seats are not the only lever. Standard includes 250 automation and integration actions a month, and once a team wires up real workflows (status changes triggering notifications, item creation triggering assignments) that cap gets hit fast. There is no published overage rate for actions. Monday.com's answer is to push you to Pro, which raises the ceiling to 25,000 actions a month. AI credits work differently. Basic includes 1,000 a month, Standard 2,000, Pro 3,000, and going over costs $0.01 per credit rather than forcing an upgrade. Heavy use of the AI columns or workflow builder burns through the allotment fast, so it is a real cost even if it is not a hard wall. Most of that gap comes from Pro's time tracking and the 25,000-action ceiling. Gating automation depth behind a higher tier is common in SaaS. It shows you the interface and nothing else. [ClickUp's Free Forever tier](/alternatives/monday-com/) has no seat cap at all, and [ClickUp](/comparisons/clickup-vs-monday/) also sells seats one at a time from $7, which sidesteps the bucket problem entirely. For most small teams that do want Monday.com, **Standard at $12** is the right tier, since that is where timeline views and real automation show up. Build your headcount around the bucket boundaries before you commit rather than after. Negotiating only exists at Enterprise; below that, the one real discount lever is the annual commitment, worth 18% to 33% off depending on tier.
